The email is sent equivalent to number of records each time. Please suggest any changes that can be done so that email is sent only once.

Generally the best practice is to add a Sample tool right before the email and select only the first record. If you would like to see some sort of built in option for this in the email tool, feel free to post it to the Product Ideas forum!
