Sending Multiple Emails with Different Attachment Conditions in Alteryx

Hi everyone,

Has anyone worked on sending multiple emails in Alteryx with varying attachment conditions? For example, sending one email with an attachment and another email without an attachment. If so, could you share how you approached this?

Here’s what I’ve tried so far:

  • Two Email tools: I used Block Until Done to ensure both tools run, but still only one fires at a time. If I disable Email Tool 1, then Email Tool 2 works, and vice versa.
  • Single Email tool: Combined logic into one tool and ensured that records without attachments have null attachment paths, but those records still throw this error:
Email (526): Record#4: Error Opening file: The system cannot find the path specified.

Has anyone encountered this issue? Any tips or best practices for handling multiple emails with different attachment setups?

Thanks in advance!

Hi @ShiminGuo,

I just tried what you described with the two email tools, but just without the Block until done tool. One email tool with attachment and one without.

This approach worked:

Both email tools sent their email

Hope this was helpful :)

Can you provide your workflow or screenshots of the workflow (Email tools and connected tools) and Email configuration screenshots, to see what you are working with.

Yes, this is possible.  As @Mathias_Nielsen points out, you should split your workflow into streams that will have an attachment and those that won't.  For those that do need an attachment you can use the Directory Recall [Engine.TempFilePath] for example to locate the correct attachment per email by having the filepath and filename put together as a string and then calling for that file in the email configuration.  This should be able to handle grabbing the right file(s) based on the instructions/conditions from your workflow stream.

Let us know if there's more we can provide to support, but knowing more about your workflow as @Gaurav_Dhama_ points out, would also be helpful.  -Jay
