Re certification of Assets in Connect - ability to re certify assets at regular intervals

Connect provides users an ability to Certify/Decertify asset or mark the asset as "Do Not Use". 

 

Problem Statement: Canvases are published to production gallery and scheduled when there is a need for the output without any single person dependency. but when the canvas output is no longer required, users not always remove the canvases or schedules from production gallery. 

 

Idea: In order to ensure the Server is utilized only for those canvases that are in use, we would like to have a re certification process of assets at regular intervals. eg. Re certification of a canvas required every 6 months from the date of publication to gallery. 

 

With Connect - we can request users to certify or decertify or mark as Do not use but we will not be able to capture or track the re certification of an asset.  

 

Ask: Functionality in Connect to recertify assets at regular intervals or ability to decertify assets in bulk based on the publication date, so that we can request the users to certify again.

With this idea @revathi , would you want the admin to determine the limit as a global setting (all assets need to be recertified annually) or are you looking for it to an option at the certification point (you are certifying an asset, please select a recertification date)?

Hi @revathi ,

this seems to me like a very specific use case and I am not sure how to make it "generic" enough so it's not a solution built for only one customer. 

I can imagine setting an attribute "lifetime" as part of the Certification state and once the lifetime is over, the asset would be returned back to the default state. 

What do you think about such solution?

@VojtechT Absolutely love the suggestion made. Lifetime of a certification (or validity of that certification) can be set to 6 months (would be great if server admins are given the ability to choose that lifetime). 

 

Also on the end of the lifetime, if an email is sent to the owner of the asset requesting for re-certification, that would be super helpful. Removes the manual effort required from Server admins or product managers. 

 

Agree that the solution cannot be built for just one use case. But with the growth of the assets in any firm, server resource usage becomes an important focus and having only the assets that are certified or in use on the server infra is crucial. Users who put their canvases on schedule do not take the effort to remove the canvas/schedules from server even after they stop using that canvas. Hence I believe this solution would be a huge benefit for all your clients in future.

Hello, I'm putting this into Comments Requested stage. 

We do not plan to do any major changes in the life cycle component. 

However, we have implemented POST API endpoints in the 2020.3 release, which allows to manipulate assets certification externally, so it could be feasible to achieve the goal by a scheduled workflow.
